Prepare an authorised employment check.

Understand what to include, what to leave out and how the review works before submitting.

Identify the request

  • Provide the requesting organisation, a work email and the employee’s full name.
  • Include an employee ID if available, and describe the purpose and exact scope of the check.
  • Only request information you have permission to obtain.

Prepare the authorisation

  • Attach the employee authorisation letter as a PDF no larger than 2 MB.
  • Make sure the authorisation covers your organisation and the intended verification.
  • Do not attach government IDs, bank details or unrelated personal records.

Understand the review

  • HR checks the underlying employment record and requester authority before sharing information.
  • Access to an email inbox does not, by itself, prove authority to receive employment information.
  • The team may ask for clarification; turnaround depends on the records and checks needed.

Keep the reference

  • Save the submission reference and quote it in follow-ups.
  • Email-only submissions are followed up by email. Private portal requests have online history when the portal is available.
  • Keep private access links to yourself and download only documents intended for you.
